Privacy Policy

How we collect, use, share and protect your personal data.

Last updated: 30 September 2026

1About this policy

Apna Payroll is a payroll, attendance and HR application operated by MOM N ME (“we”, “us”, “our”), Ludhiana, Punjab, India. This policy explains how we handle personal data when you use the Apna Payroll Android app (package com.mnm.apnapayroll) and the website snmapp.cloudk.in (together, the “Service”).

Apna Payroll is an internal workplace app. It is currently used by our organisation to manage our own staff, and is not open for public sign-up. Every account is created or approved by an authorised admin of the organisation, and admins manage all user accounts and records. If other organisations use Apna Payroll in future, the same applies to them and their own admins.

The Service has three kinds of users:

  • Admins – authorised staff of the organisation who manage employees, attendance and payroll.
  • Employees – staff who mark attendance, view payslips and make requests.
  • Parties – business partners (such as distributors and retailers) who use the party portal.

We handle your data in accordance with the Digital Personal Data Protection Act, 2023, the Information Technology Act, 2000 and the rules made under them.

2Information we collect

We collect only the information needed for your employment: records required for attendance, payroll, salary payment and statutory compliance. All of it is either entered by you or recorded with your knowledge, such as when you check in or submit a request. We do not collect anything silently in the background.

Account and identity details

  • Name, mobile number and email address
  • Date of birth, marital status, anniversary date and address
  • Login credentials and account verification status

KYC and bank details

  • Aadhaar number and photos of the front and back of your Aadhaar card. The Aadhaar number is shown only in masked form in the app.
  • Bank name, IFSC code and bank account number, used to pay your salary

Employment and payroll records

  • Salary structure, payslips, deductions and recoveries
  • Attendance, punches, leave and overtime records
  • Salary advance and staff loan requests, repayment schedules and your acceptance of loan terms
  • Your signature, when you sign a loan request or your profile inside the app

Attendance selfie and location

  • A photo taken with your camera when you check in for attendance
  • Your precise location at the moment you check in, so your employer can verify where attendance was marked
Location is collected only when you mark attendance with the app open. Apna Payroll does not track your location in the background.

Files and documents

  • Documents, photos and spreadsheets you choose to upload, such as ID proofs, order files or reports

Business data (party portal)

  • Orders, sales, targets and account statements linked to your business

Device information

  • A push notification token, so we can send you notifications such as payslip, leave and attendance alerts

One-time passwords (SMS)

To fill in a verification code automatically, the app uses Google’s SMS User Consent API. Android shows you the single incoming OTP message and asks for your permission first. The app never reads any other messages and does not store your SMS inbox.

We do not show ads, we do not use third-party analytics or advertising trackers, and we do not sell your personal data.

3App permissions

PermissionWhy we need it

  • To record attendance, leave and working hours
  • To calculate salary and generate payslips
  • To process salary advances, staff loans and repayments
  • To pay salary into your bank account, through your employer
  • To send notifications and service messages
  • To keep the Service secure, prevent fraud and fix problems
  • To meet our legal, tax and labour-law obligations

5Who we share it with

  • Your organisation’s admins. Authorised admins can see your employment, attendance (including selfies and check-in location), payroll, loan and profile records.
  • Service providers who help us run the Service, under confidentiality obligations:
    • Our server hosting provider, which stores data on our behalf
    • Google Firebase Cloud Messaging, which delivers push notifications
  • Authorities, when required by law, court order or a government request, or to protect the rights and safety of users.

We never sell or rent your personal data, and we do not share it with advertisers.

6How long we keep it

We keep your data while your account is active. After you or your employer close the account, we delete or anonymise it within 30 days. The exception is records we must keep by law, such as payroll, tax and statutory records under Indian labour, tax and accounting laws. We keep those only for the period the law requires, and then delete them.

7How we protect it

  • All data between the app and our server is encrypted in transit using HTTPS.
  • Access is limited by role: employees see only their own records, and admins see only their own organisation.
  • Aadhaar numbers are masked when displayed.
  • Access to our servers is restricted to authorised personnel.

No system is completely secure, but we take reasonable steps to protect your data and will notify you and the authorities of a data breach as required by law.

8Your rights

You have the right to:

  • Get a summary of the personal data we hold about you
  • Correct or update inaccurate or incomplete data
  • Ask us to delete your data, subject to legal retention
  • Withdraw consent for optional features. Information required for your employment and payroll, and records we must keep by law, cannot be removed while you are employed.

We will confirm your identity and complete the deletion within 30 days, apart from records we must keep by law (see section 6).

10Children
